As we have comprehensive and deep SAP expertise we are in a rare position as a partner who can advise, implement, integrate, enhance and support all of the EUDR system processes, whether they reside in osapiens or SAP.

As we have been helping various customers progress along their EUDR journey, we have created a set of packages we can offer to new companies embarking on their EUDR journey with osapiens.

Understanding EUDR

The EU Deforestation-free Regulation (EUDR) came into force in June 2023 and is going to become mandatory for medium and large companies in December 2025. If a company imports into the EU, or trades commodities such as wood, rubber, soy, cocoa, coffee, palm oil or cattle (or derived products) within the EU they will need to take action now to meet the deadline.

If they do not comply on time, it could result in the following:

  • Litigation and fines
  • Blocked EU imports
  • Reputation damage

In order to be compliant, companies in scope need to collect data on the origin of their raw materials to demonstrate that no deforestation occurred at source, and to subsequently ensure complete traceability and auditability from raw material source to the final product. This process is subject to a due diligence process defined by the EU where the company will need to submit or verify a Due Diligence Statement (DDS) in a system provided by the EU called TRACES.

The key activities required can be summarized as follows:

  • Collect information – Gather the source geo-location information, harvest period and volumes.
  • Risk analysis – Assess risk of non-compliance based on various criteria and best-practices.
  • Risk limitation – Carry out additional checks or audits where necessary.
  • Due diligence process – Ensure the due diligence process adheres to EU rules and processes and is transparent

Project and Data Preparation

Before a company starts the project, we can provide clarity on the key topics most customers are seeking. These are the readiness of their SAP data and process setup for the project, the different integration options including pros and cons, the full list of activities required to deliver the project, including the expected durations and dependencies, and ultimately companies need to understand how much time (and cost) they should plan for.

In addition, companies may want to understand the best-practice approach to engage with suppliers to get EUDR-relevant data, get more understanding of the osapiens solution through slides or demos, or leverage architectural services from a landscape or system perspective when they have a complex technical environment.

osapiens System Configuration

When the project has started and initial training has been completed, osapiens EUDR customers may need help setting up the osapiens tenant and configuring the system processes. This can be general help or could be more specifically required in the area of system workflow and automation, for example when an EUDR-relevant purchase order is created in the SAP ERP and transferred to the osapiens HUB, a workflow could trigger a request to the supplier to provide EUDR-specific data points. The risk management process may also need to be extended or enhanced beyond what is available to cater for company-specific risk categorizations or case management.

The advisory, setup and testing aspects of the system configuration are all activities NTT DATA can take care of for osapiens EUDR customers.

Data Upload and Integration

The osapiens solution for EUDR requires companies to interface or manually load data from their ERP systems in order to setup and start testing the end-to-end process. The data to be loaded will be master data such as business partners (vendors, customers) and materials, and transactional data such as purchase orders and deliveries. We will be able to help with SAP data extraction and formatting changes (if needed), enriching SAP data with additional fields, amending the SAP process in line with best-practices (if relevant) and then we can assist further by creating files for manual upload and loading those files into the osapiens HUB.

For system integrations we can advise and help with suppliers accessing the supplier portal, customers accessing the customer portal, or setting up custom SAP integrations as well as the integration with the EU TRACES system where Due Diligence Statements (DDS) are filed and checked.

UAT Testing, Training and Cutover

Once the system processes have been tested, we can help with UAT test planning, preparation and supporting issues during testing if they arise. We can also help with the end-user training planning, preparation and carrying out training for customers if needed.

When the go-live approaches, we can help plan the cutover to go live by estimating the durations and dependencies of actions needed from all parties in both the SAP ERP and osapiens systems.

Hypercare and Ongoing Support

Once the project is live, we can provide initial support and triaging services, and if we identify what we believe is a product issue we can discuss and collaborate with the osapiens team to work towards a resolution. We can also take the lead if additional scope items (for example additional Business Units, products and/or suppliers) are required for EUDR compliance once the system is live.
